Hospital Bedding

Hospital bedding as a complete purchasing category — sheets, pillowcases, pillows, protectors and underpads, specified as one order with one laundry regime rather than bought item by item.

Hospital Bedding

Hospital bedding is a category rather than a product. It covers everything that sits on the bed and is changed, laundered or replaced on a cycle: sheets, pillowcases, pillows, mattress protectors and underpads, and in some facilities bedspreads or coverlets as well.

Buying it as one order with one laundry regime is usually cheaper and always more consistent than assembling the same set from several suppliers. One fibre decision, one colour decision and one packing format reduce the number of ways the set can drift apart over a replacement cycle.

The category is also where the largest specification mistakes happen, because the items have very different jobs and very different failure modes. A sheet fails at the hem or the corner. A pillow loses loft from the inside. A mattress protector fails invisibly, and by the time the failure is visible the mattress is already contaminated. Treating all of them as "bedding" and buying on a blended unit price hides exactly the differences that decide service life.

We make hospital bedding to order across the full set. You specify each item separately — fibre as a percentage, weight in GSM, finished dimensions with the shrinkage allowance stated apart from the finished size, and construction detail at hem, seam and stress point. We quote each line separately so you can see where the money is actually going.

A second decision that belongs at the category level is the laundry regime. Maximum wash temperature, bleach chemistry and expected cycles between replacement apply to the whole set, but they do not affect every item equally. A protector rated for a temperature but not for a cycle count will be quoted at 50 cycles by one supplier and 150 by another, and the difference only becomes visible in year two.

For the items that carry a barrier function — mattress protectors and underpads — specify the barrier rather than the adjective. A coated fabric with a stated coating weight, or a laminated membrane with a stated hydrostatic resistance, can be compared between suppliers. "Waterproof" cannot.

Pillows are the item most often bought on price and replaced on complaint. Three numbers and one construction choice cover most of it: fill weight in grams, finished loft height, ticking weight, and whether the edge is stitched, piped or double-stitched. If the pillow will be laundered rather than replaced when soiled, the construction and the wash temperature it must survive become specification items rather than preferences.

Where colour is used to distinguish wards or departments, decide it at category level so that every item in the set carries the same shade reference and tolerance. Mismatched items within one ward look like a failure even when each item individually meets its own specification.

The minimum order applies per style and per colour rather than per order. A facility ordering four colours across two sizes may therefore be looking at several separate minimums, and resolving that before the request goes out is worth more than any single line negotiation afterwards.

Orders are made to order with a 500-piece minimum per style and colour and a typical lead time of about four weeks from order confirmation. Send the item list, the quantities per item and your laundry conditions, and we will come back with a quote on your terms within 24 hours.

What You Get

Why Source Hospital Bedding From HotelsLinen

One order, one laundry regime

The whole set specified against the same wash temperature, bleach chemistry and cycle target, so that items are replaced on a predictable schedule rather than failing at random.

Each item quoted on its own line

A blended price hides where the cost sits. Sheets, pillowcases, pillows, protectors and underpads are quoted separately so that comparison between suppliers is meaningful.

Barrier items specified, not described

Mattress protectors and underpads are quoted on coating weight or hydrostatic resistance and on cycle limits with conditions attached, because "waterproof" cannot be compared.

Pillows built to a number

Fill weight in grams, finished loft height, ticking weight and edge construction — stated rather than implied, so that a replacement order three years later matches the original.

Consistent shade across the set

Ward and department colours are worked to one reference with a stated tolerance, so that sheets, cases and protectors in the same room match each other.

Traceability at the level you need

Batch reference on a printed label where that is sufficient; barcode, QR or RFID where individual items must be tracked through their service life.

Packing to your store room

Pieces per pack and cartons per pallet agreed up front, with pre-shipment photographs of the packed cartons and shipping marks before dispatch.

MOQ 500, about four weeks

A 500-piece minimum per style and colour, typical lead time about four weeks from order confirmation. A larger single run also delivers more consistent shade across the set.

Custom Manufacturing

Send your spec or sample and we make it to order with consistent quality at scale.

Custom Branding

Embroidered, woven-label and printed logos, plus private label packaging.

Factory-Direct MOQ

Start from 500 pieces per style and color, with a typical 4-week lead time.

FAQ

Common Questions

What counts as hospital bedding?

Everything on the bed that is changed or laundered: flat and fitted sheets, draw sheets, pillowcases, pillows, mattress protectors and underpads, and in some facilities bedspreads or coverlets. Bed frames and pressure-relief surfaces are medical equipment and are not part of this category.

Should we buy hospital bedding as one order or item by item?

As one order, where your specification allows it. One fibre decision, one colour decision and one packing format reduces the number of ways the set can drift apart. Each item still needs its own specification line and its own quoted price.

How do we specify a mattress protector properly?

State the barrier as a coated fabric with a coating weight, or as a laminated membrane with a hydrostatic resistance figure. State the skirt depth against maximum mattress depth, and state the wash cycle limit with the conditions attached.

Why do our pillows lose loft so quickly?

Usually because fill weight and ticking weight were never specified. A pillow bought on price alone typically has less fill and a lighter ticking, so the fill migrates and the loft goes before the cover looks worn.

What fibre should institutional bedding use?

That follows from your laundry. Poly-cotton blends hold dimensions and resist abrasion better at the same weight and suit aggressive wash regimes. 100% cotton is more comfortable when new and handles higher temperatures, but shrinks more and needs a larger allowance.

How many colours can we order?

As many as your ward or department scheme needs, but the minimum order applies per colour, so several colours means several minimums. It is worth deciding the colour count before the request goes out rather than after the quote comes back.

Can you supply the same specification again in two years?

Yes, provided the specification was recorded as numbers rather than descriptions. Fill weight, GSM, finished dimensions and construction detail are all reproducible. Fabric descriptions alone are not.

Do you provide samples before the bulk order?

Yes. A pre-production sample made from the production fabric and construction lets you measure and wash the actual specification rather than a prototype, and pre-shipment photographs of the bulk production close the loop before dispatch.

What are the minimum order and lead time?

A 500-piece minimum per style and colour, typical lead time around four weeks from order confirmation. Plan backwards from your changeover date with production, transit and inbound handling as three separate periods.

Can hospital bedding be made to non-standard bed sizes?

Yes. Institutional bedding is made to order, so dimensions follow your own mattress fleet. Measure the fleet rather than the original purchase order — mattress depth in particular drifts as toppers are added over a fleet’s life.
